Bookings
- You must be 18 years of age or over to book accommodation and stay at Ochre Hill.
- The maximum number of guests in the accommodation is two adults. No children for safety reasons.
- All bookings are considered provisional until you receive a confirmation email from us.
When you submit a booking and payment via our online reservation system you will be requested to read and accept these terms and conditions of booking. You will receive an automatically generated booking confirmation and payment summary by email to the email address you provided at the time of booking. This booking confirmation email forms a contract between you and Ochre Hill.
To secure your booking:
- A non – refundable deposit of 25% (or full payment) of the total booking value is required at the time of booking.
- The remaining balance must be paid no later than 8 weeks before your stay.
- If a booking is made within 8 weeks of arrival, full payment is required at the time of booking.
- Payment method by Debit/Credit card.
- Failure to pay the balance by the due date – Ochre Hill reserves the right to re – let your accommodation and retain the deposit.
- The prices featured on the website are not binding. We reserve the right to modify these prices at any time. The price stated on your booking confirmation email is binding.
- Ochre Hill reserves the right, always, without statement of reasons, to refuse or cancel a booking.
Arrivals & Departures
- Your cabin will be ready by 4pm on day of arrival .
- To protect the nocturnal wildlife there is limited external lighting on site, the pathways are unlit, because of this, we ask for all arrivals before 9pm all year round. A torch is recommended for your arrival and during your stay.
- Your cabin must be vacated by 11 am on day of departure.
Offers and Discounts
- Any offer, promotion or discount made available by Ochre Hill is subject to the specific terms and conditions applicable to that offer.
- Where a discount code is required, the applicable code must be entered and successfully applied at the time the booking is made. It is the Guest’s responsibility to ensure that any applicable discount has been correctly applied before completing the booking.
- Offers, promotions and discounts cannot be applied retrospectively to bookings that have already been confirmed. Ochre Hill will not be obliged to amend the price of an existing booking where an offer or discount becomes available after the booking has been made.
- Unless expressly stated otherwise in the terms of the relevant offer, any new offer or discount applies to new bookings only made during the specified promotional period. An offer cannot be applied to an existing booking, even where the booking relates to a stay date falling within the promotional period.
- Offers and discounts are subject to availability and may be withdrawn, amended or extended at the discretion of Ochre Hill without notice.
- Unless expressly stated otherwise, offers and discounts cannot be used in conjunction with any other offer, promotion or discount.
Cancellations
- Any cancellation must be in writing via email and will only be effective once we send written confirmation of the cancellation to you. Please see REFUNDS section for your entitlement to refunds.
- Cancellations made within 7 working days of your stay date, will not be refundable under any circumstances, as the stay cannot be remarketed.
- When we confirm your cancellation in writing we will provide you with details of what (if anything) is owing to you and any deductions we have made.
- We strongly recommend that you take out holiday insurance at the time of making the booking with cancellation cover. Whilst we allow you to cancel your stay, we cannot guarantee that we will be able to refund any part of the payments you have already made.
- If you are unable to travel to Ochre Hill for any reason, or do not arrive on the day of check-in without notifying us, this will be treated as a cancellation.
Refunds
Cancellations made within 7 working days of your stay date, will not be refundable under any circumstances, as the stay cannot be remarketed.
If your dates are resold:
- You will be entitled to a refund of all payments you have made to us minus:
- (a) any reduction in the value per night of the new booking received compared with the rate charged to you for your stay nights;
- (b) the non – refundable deposit to the value of 25% of the total booking charged to you upon booking; and (c) a £50 cancellation admin charge ;
If your dates cannot be resold then:
- If you cancelled Eight weeks or more prior to the check – in date . We will retain the deposit you paid at the time of booking. Less than eight weeks to the check – in date . We will retain all payments made and you will be liable for any outstanding balance payment.
- If you are unable to travel due to personal illness (e.g. Coronavirus or other sickness), our cancellation policy will apply.
- If we cancelled your stay: In the unlikely event that we need to cancel your holiday, we shall inform you as soon as possible and refund all monies paid to us, by you within 14 days.
- If Government policies restrict travel and you are unable to travel to stay with us, you will have the option to postpone your stay to a later date (subject to any differences in price applicable for the new dates) or receive a full refund.
Amendments
Changes to bookings may be permitted subject to availability.
An administration fee of £50 may apply to any booking amendments, including date changes or guest alterations.
Pets
Dogs or pets of any kind are not permitted. This is to protect local wildlife and livestock.
Noise and Behaviour
- It’s important to us that all our guests enjoy a peaceful and relaxing stay with us. Ochre Hill is in a quiet, remote location in the countryside and guests choose to stay with us because they are seeking to retreat, relax and unwind. To keep this peaceful tranquillity, we do not allow any music or radios outside of the cabin. Please use headphones if you are listening to music outside.
- After 10pm, the only sounds you should be able to hear are the owls hooting and other nocturnal animals shuffling around as they too enjoy the space we share. The quieter you are the more likely you are to catch a glimpse.
- In exceptional circumstances, we reserve the right to ask your party to leave if there is repeated noise after having received two warnings. As you will have breached the terms of your contract with us, no refunds will be forthcoming.
- Drugs or prohibited substances are not permitted in the cabin or on site, at any time.
- Due to our insurance conditions, visitors are not permitted on site at any time. Children are not permitted on site as guests or visitors, at any time.
Wildlife Pond
There is a large wildlife pond on site, this was built by us to encourage and create a space for wildlife. No fishing or any persons entering the water is permitted under any circumstances. Please enjoy the pond from a safe distance.
Bicycles
If you are bringing your bike on holiday with you, please ensure you have your own insurance. Whilst we have sheltered and secure, storage for you use – our business insurance does not cover guests bicycles. Do not bring bikes inside your cabin. Any bicycles brought and stored either on your vehicle or within the storage provided are left entirely at the owners own risk, Ochre Hill will not be liable for any loss, theft or damage whilst on site.
Parking
Ochre Hill has private off – road parking for guest use, any vehicle and belongings left here is entirely at the owners risk. There is plenty of space for 2 cars next to the EV charging point.
Please be respectful and allow space for other guests to park . The gated access to the field must remain accessible at all times.
Electric Vehicle Charger
We have two untethered electric charging points. These can be utilised by guests at an additional fee. A RFID card will be available following purchase of this add – on in your cabin’s key safe for the duration of your stay. This is the only way to operate the charger. Should the RFID card be lost or not returned at the end of your stay, Ochre Hill reserves the right to charge for the cost of a replacement.
Candles
Due to the high fire risk with a wooden structure, the use of candles and tea lights is not permitted inside or on the covered deck of the cabins, at any time. We provide battery operated lights for our guests.
Fireworks & Chinese Lanterns
Due to the high fire risk with a wooden structure, the use of fireworks, sparklers and Chinese lanterns are not permitted across the entire site, at any time.
Smoking
- Smoking, vaping and e – cigarettes are not permitted in side the cabin. Vaping and e-cigarettes may be used outside on decked areas, please close the doors when doing so.
- Smoking is not permitted on decked areas, please step away from the cabin to a reasonable distance when smoking, please extinguish cigarette butts fully in the ash tray provided (found under the kitchen sink) and dispose of them responsibly.
Logs & Firepit Wood
We provide a generous basket of kiln dried, split logs and kindling for normal usage of the wood burning stove and firepit. If you do require extra logs, they can be purchased for an additional fee. Extra logs and charcoal can be purchased from the log store next to the carpark. If pre-orders are made before your stay, these will be ready at your cabin upon arrival. Or you can bring along your own supplies. Use of only seasoned logs is permitted, please do not forage for logs or damage any trees.
Firepit & BBQ
- Due to the high fire risk with a wooden structure and for insurance purposes, the fire pit must not be moved from its location.
- Please place lid on firepit once you have finished. This will snuff the fire and prevent any wayward embers leaving on the wind.
- There is a BBQ stored at the rear of your cabin for your use. Due to the high fire risk with a wooden structure and for insurance purposes BBQ’s must be kept at a MINIMUM of 3m from your cabin when in use. Disposable BBQs are not permitted.
- Please clean the BBQ rack after use.
Damage and Cleaning
- Guests are responsible for taking reasonable care of the accommodation and its contents.
- Please leave your accommodation tidy and let us know if anything gets broken so we can replace it for our next guest. Accidents happen and we will only charge for replacements in exceptional circumstances, as we expect a fair degree of wear and tear. If the damage is directly attributable to the guest, then we reserve the right to request payment to cover all damages incurred directly during your stay.
- All cleaning, under normal circumstances is included as part of your stay. If additional cleaning is required, including washing up, additional cleaning of the interior/exterior or fixtures and fittings then Ochre Hill the right to charge for this work at a rate of £25 per hour. Ochre Hill reserves the right to invoice guests following their stay.
- Guests will be charged for any item(s) that are removed or lost from the accommodation.
Service Utilities
Should there be a failure in a utility service (e.g. water, heating, electricity, sewerage) please notify Ochre Hill management immediately and we will aim to restore the service as quickly as possible. However, should any utility service failure extend beyond a 12 hour period from notification, for your health and safety reasons you will be asked to leave the accommodation and your accommodation fee for the duration lost will be fully refunded or you will be offered to re – book for another time, subject to availability.
External Lighting
Ochre Hill is located in a Special Area for Conservation (SAC) and has been carefully designed to provide maximum guest comfort and convenience whilst respecting the surrounding natural environment and its native inhabitants. Please note there is no pathway lighting to the cabins from the car parking area. A torch is recommended for your movement between your cabin and the car park at night. At dusk, the window blinds will go down automatically to minimise the impact of lighting on the nocturnal wildlife, especially the rare & protected horseshoe bats. This is enforced by our local planning authority and unfortunately out of our control.
Remember to close the curtains too as they automatically open again at dawn ! (or 7am if dawn is before)
Recycling
- We have provided recycling bins for all recyclable waste and ask that you please use these as much as possible.
- Recycling and General waste bins can be found at the rear of you r cabin. Please do not leave bagged waste outside your cabin, the night critters will make a mess of this!
Personal Property
- Ochre Hill will not be held responsible for any loss or damage to any property on Ochre Hill premises. Vehicles, accessories and contents are left at the owner’s risk. It is recommended that your holiday insurance covers loss or damage to personal effects.
- Should you leave an item behind in the cabins, you can request for us to return it by post.
- There is a fixed charge of £5.00 + Postage and Packaging for this service.
Extreme Weather
Ochre Hill holds no responsibility for guests who are unable to attend due to extreme weather or traffic conditions (e.g. snow, flooding, high winds, road traffic accidents/congestion, train delays, etc.). If a guest is unable to reach Ochre Hill due to adverse weather conditions or travel issues, you will lose your full payment and an alternative date will not be offered. Please ensure you have full holiday / travel insurance to cover such eventualities.
If we make the decision to cancel your stay for safety reasons due to extreme weather (snow or high winds), we will offer you an alternative date, subject to availability.
Liability
We cannot accept responsibility for loss, theft, or damage to guests’ personal belongings, vehicles, or pets during their stay.
Guests use the property and surrounding grounds at their own risk.
Force Majeure
Ochre Hill accepts no liability for events prior to or during your stay totally beyond our control, e.g. destruction of property due to flood, fire, earthquakes or acts of nature; or if the property becomes uninhabitable due to irreparable damage or on Health & Safety grounds that could not reasonably have been foreseen. In such instances, refunds will be at the discretion of Ochre Hill management.
OCHRE HILL RESERVES THE RIGHT TO CHANGE OR AMEND THESE TERMS AND CONDITIONS AT ANY TIME.
